1. About these terms

These terms govern access to Core32, a business workspace operated by Ai32 (we, us or our). By creating an account or using Core32, you agree to these terms. If you act for an organisation, you must have authority to do so.

If your organisation has a separate signed agreement or order with us, that agreement takes priority to the extent of a conflict. The features, fees and service commitments agreed with your organisation continue to apply. These terms do not replace rights or remedies that cannot lawfully be excluded.

2. Accounts and workspace access

Provide accurate account information, keep credentials secure and use only accounts and workspaces you are authorised to access. Tell us promptly if you suspect unauthorised use. You must be legally able to enter into this agreement; Core32 is intended for business use.

Your organisation controls its memberships, roles, enabled features and business settings. It may change or remove your access. Access to particular records also depends on source and workspace permissions.

3. Your content and our service

You and your organisation retain your rights in the content you provide. You grant us the rights needed to host, store, copy, process, transmit and display that content to operate Core32, follow authorised instructions, provide support and meet legal obligations. This includes processing by providers involved in the features you use.

You are responsible for having the permissions needed to upload, connect, record, share and process content, including information about other people. Only share content with recipients and external services that are appropriate for that information.

We and our licensors retain rights in Core32’s software, design, branding and service materials. Your subscription or agreement gives you permission to use the service within its scope; it does not transfer ownership of the platform.

4. Acceptable use

You must not use Core32 to break the law, infringe another person’s rights, distribute malicious code, send unlawful or abusive communications, or disclose information without authority. Do not bypass permissions, probe another customer’s workspace, misuse credentials or disrupt the service.

Use APIs, connectors and automation within the permissions and limits provided. Do not use an integration to gain access that the underlying user or organisation does not have.

5. AI and automated actions

Core32 includes AI-assisted answers, summaries, drafts and workflows. AI can produce incomplete, inaccurate or outdated information. Check relevant sources and review outputs before relying on them, sharing them or using them for important decisions.

You and your organisation control the instructions, permissions and available settings used for workflows. Some configured workflows can act without a separate confirmation for every step. Review the scope of an automation before enabling it, and supervise its results.

AI output is not a substitute for qualified professional advice where that advice is needed. We do not guarantee that generated content is unique, free of third-party rights or suitable for every purpose. Your rights and our responsibilities under applicable law remain unchanged.

6. Connected services and meetings

Third-party accounts, AI providers, meeting services and connectors may have their own terms, fees and privacy policies. Authorising a connection allows the relevant information to pass between services as needed for that feature. Third-party changes or outages can affect availability.

You are responsible for notifying meeting participants and obtaining any consent required to record, transcribe or share a meeting. Do not enable recording or transcription where you lack that authority.

Disconnecting a service does not retract messages already sent or erase copies already held by recipients. Review the destination and permissions before sharing business information with an external assistant or service.

7. Plans, fees and cancellation

Fees, billing periods, included features and any usage charges are those disclosed in the plan, order or agreement accepted by your organisation. No additional fee is created simply by these terms. Third-party charges may apply when separately agreed with that provider.

You can request cancellation or discuss billing through your organisation’s administrator or by contacting us. Cancellation timing, access and any refund are governed by your accepted agreement and applicable law. We do not exclude any refund or other remedy you are legally entitled to receive.

8. Availability and changes

We work to maintain the service, but maintenance, network failures, security events and provider outages can interrupt it. Any specific availability or support commitment must be set out in your agreement.

We may maintain and update the service. For a material change that adversely affects an agreed paid service, we will provide reasonable notice where practicable and discuss an appropriate remedy, subject to your agreement and applicable law.

9. Suspension and ending access

We may restrict access where reasonably necessary to address a security risk, unlawful use, a material breach or an unpaid amount due under your agreement. Where practical, we will explain the reason and allow an opportunity to resolve it. Urgent security or legal circumstances may require immediate action.

Before access ends, work with your administrator to retrieve information you need and are entitled to retain. Contact us about available export or deletion options. Data handling after termination is described in our Privacy Policy and any applicable customer agreement; deletion is not necessarily immediate.

10. Legal rights and responsibility

Nothing in these terms excludes, restricts or modifies a guarantee, right or remedy that cannot lawfully be excluded, including under the Australian Consumer Law. Where such a guarantee applies, you retain the remedies provided by law.

Each party remains responsible for its obligations under applicable law and any separate agreement. These terms do not impose a blanket exclusion of our liability or require you to waive statutory rights.

11. Questions and disputes

Please contact admin@ai32.com.au with service questions or concerns so we can try to resolve them. This does not prevent you from seeking urgent relief, contacting a regulator or exercising a legal right.

Unless a separate agreement provides otherwise, these terms are governed by the laws of Western Australia, Australia, and the courts there have non-exclusive jurisdiction. This does not take away mandatory protections or access to courts available to you under applicable law.

12. Updates and contact

We may update these terms to reflect service or legal changes. We will publish the updated terms with their date and give reasonable advance notice of material changes where practicable. Updates do not retrospectively remove accrued rights or override a separate signed agreement. Where additional agreement is required, we will seek it.
